Dearest Families,
I am so excited that they gave us permission to rent the Oxford School Yards on Oxford street in Berkeley for filming our Nutcracker and Showcase.
This includes film schedule/ Protocols/ costume rental and pick up info/ movie link fees.
It is quite an undertaking and I will have to pay daily rent as there will be custodial fees because we will need electricity and storage space.
Below some info so you know what the plans are.
FILMING IS FROM NOV 28 UNTIL DEC 9 (maybe 11) at 1130 Oxford in Berkeley
1) We need a safe floor for the students to dance on and so I am going to bring the Marley dance floor from the studio over to the Yard. This is very heavy and so we will leave it there for the 11 days we are filming
2) I did order cheap backdrops 40 by 12 feet and purchased backdrop stands so it gives the kids more of a feeling they are on a real stage and makes it more exciting for them
3) Mario will film all the pieces and of course I pay him hourly for that plus we need to rent lighting equipment as we will need to film in the evening as well.
4) I will schedule costume pick up time for ballet students only , I will send a separate email with costume fees depending how many costumes your child needs)
5) Some scenes need to be filmed in daylight and some scenes after sun set and so it is not easy to change this and I hope everyone can make the days and times scheduled.
6) The week of Nov 30 until Dec 9 we don't teach regular classes but will be filming. One hour filming counts as one class.
If your child only takes one class a week and has to miss one class during these two week film schedule we will schedule a makeup class the week of Dec 14 which is the week the session is over
7) I will be at the Yard at all times to supervise and make sure everyone keeps at a safe distance and follow the rules
8) VERY IMPORTANT , if your child wants to participate in the filming they can't miss any more classes. It is very hard for us teachers to choreograph on Zoom especially with larger classes. If your child hurt her foot or anything else but they are not sick, please let them at least watch the class so they don't miss anything. We are doing our best to organize something fun for the kids besides Zoom and so we need your help to make this happen. WE have only 6 weeks left and as you know it flies by :)
9) If it rains we will reschedule filming to either Dec 10 or 11
PROTOCOLS
1) Arrive a little early in costume and hair and make up done, if you are late there won't be anyone at the gate!!! wear a warm jacket over the costume- they will practice with the jacket or sweater on until they start filming
2) Every student and teacher needs to wear a mask at all times
3) We will check temperatures by the entrance and hand out hand sanitizer while entering and exiting the premises.
4) While lining up by the gate everyone needs to stay 6 feet apart
5) Everyone needs to wait by the gate until me or another teacher is letting you in
6) Parents are not allowed in the yard and need to wait outside or come back to pick your child up
7) Once in the yard children need to keep 6 feet distance at all times and will need to wait in their assigned spots at all times until the teacher organizes them on the stage for spacing and practice/filming
8) On stage kids will have to dance 6 feet apart
9) Please make sure your child will bring a water bottle with their name on the bottle ( they will need to leave their bag and water bottle on their assigned waiting space)
10) When they are done make sure to be on time for pick up (unless they are old enough to walk home) they will line up by the gate and we will one by one send them to you.
11) There is a Covid waiver on the website www.zwaandancestudio.com. please sign that and get that back to me before the filming. You can email it to me which might be the easiest way, or you can go by the studio and drop it upstairs in the mail-slot.
12) If your child has a fever or cough they can not enter the yard
13) If you or someone in your household had physical contact with someone who tested positive for Covid-19 during the last 14 days your child can't participate.
I know it's a lot but safety is my priority and I want this to be positive experience and for that to happen transparency is the most important thing. Below is the schedule + costume info. ( For the showcase the teachers will let the students know what to wear)

2) Kids need to arrive in costume ( if doing multiple dances I will let you know daily which costume they need if doing 2 numbers in one day they can change inside the school (this is only for older students)
3) When they are done they need to keep the costume on and take the costume home and I will arrange a day for you to drop off the costumes at the studio.
4) I will organize pick up days where you can pick up your child’s costumes, if you can't make any of these dates you can pick them up from my house.
5) You can pay the costume fee through Venmo/Zelle/PayPal, we will also set up a PayPal link on our website, make sure you mention the students name if you make a payment
6) We will charge a $25 link fee, this will help to cover some of the cost for the teachers time and Mario's filming, School rent etc
7) We are working on a launch date as we are streaming the movies live ( it all depends on editing time, but we will work on it to do it as fast as possible) If you can't make it life we can send you the link separate but we thought it would be special for the kids to watch it all at the same time giving it a feeling of a performance.
